How to share files and links with your group

By Daniel Jimenez, founder of Kanbei · November 3, 2026 · 2 min read

A Kanbei guide — step by step, for organizers.

Files is the one place for handouts, forms, and links: two tabs, one for links to things that live elsewhere, and one for files uploaded into Kanbei. When someone asks where the handout is, the answer is always the same place.

Add a link

Open Files, go to the Links tab, and add the title and the address. Give it a title people will search for later — “Spring rota” beats “Document 1”. Edit or remove a link when it goes out of date; a dead link in the shared folder is worse than no link.

Upload a file

On the Uploads tab, upload the file with a title. Members can open and download it from the same page. Uploading needs your own org and someone with permission to write — in the demo you can browse the sample files, but uploads are off.

Keep it tidy

  • One copy of each thing. If a file changes, replace it instead of adding a second copy with a similar name.
  • Retire old files instead of letting them pile up — an out-of-date rota that looks current causes real mistakes.
  • Put the link people need most at the top of the list, not buried under last season’s files.

Doing this in Kanbei

Open Files from the sidebar (turn it on in Settings → Tools if it is not there). Links and uploads sit side by side, and members with the right role can add to them. It costs $20 a month, plus applicable taxes, for the whole organization, with unlimited members.

Common questions

What is the difference between the two Files tabs?

Links point to things that live elsewhere; Uploads are files stored in Kanbei itself.

Can members upload files?

Only people with write permission for Files can add or remove them. Other members can open and download what is there.

Why can I not upload in the demo?

Uploads are off in the demo. In your own org, anyone with permission can upload.
