How to book rooms without double-booking

By Daniel Jimenez, founder of Kanbei · November 3, 2026 · 2 min read

A Kanbei guide — step by step, for organizers.

Rooms keeps your halls, rooms, and fields in one list, and every booking in one of three states: requested, approved, or declined. Two approved bookings can never overlap in the same room — that is the whole point.

List your rooms

Add each room, hall, or field you manage, with its capacity if it matters. Requests from members wait here for your approval, and you can say whether member requests need approval at all.

Approve or decline requests

Open a requested booking and approve or decline it. Kanbei warns you if approving it would clash with an approved booking, and two approved bookings in the same room can never overlap. Requests can overlap until you approve one — the approval is what settles it.

Members can ask for a room too

Members can request a room from their own page (“Book a room”). Their request waits in Rooms until someone approves or declines it — they do not book straight onto the calendar.

Doing this in Kanbei

Open Rooms from the sidebar (turn it on in Settings → Tools if it is not there). Add your rooms, approve requests as they come in, and check the bookings list before you promise a room to anyone. It costs $20 a month, plus applicable taxes, for the whole organization, with unlimited members.

Common questions

Can two approved bookings overlap in the same room?

No. Two approved bookings can never overlap in the same room.

Can members book a room themselves?

They can request one from their own page. It waits for approval — it does not book straight away.

What happens to overlapping requests?

Requests can overlap until you approve one. Approving is what settles it, and Kanbei warns you about clashes.
