How to run memberships, committees, and cards

By Daniel Jimenez, founder of Kanbei · November 3, 2026 · 2 min read

A Kanbei guide — step by step, for organizers.

Club is for the formal side of membership: who is a member at what level, when each membership renews, who sits on which committee, and the card that proves it. Dues — the money itself — live on the separate Dues page.

Membership levels and renewals

Give each person a membership level and a renewal date. The list shows who is current and who is due, so renewals are chased before they lapse instead of discovered after. The automatic renewal email — sent 14 days before a membership renews — is switched on in Settings, under “Automatic messages”.

Committees

A committee is a group with positions: give each person a position and the dates of their term, so it is always clear who holds which seat and until when.

Membership cards

Every person has a digital membership card. Send them the link, or print it. The card has a QR code: scanning it shows whether the membership is current.

Doing this in Kanbei

Open Club from the sidebar (turn it on in Settings → Tools if it is not there). Set levels and renewal dates, fill in the committees, and hand out the cards. It costs $20 a month, plus applicable taxes, for the whole organization, with unlimited members.

Common questions

How do I know whose membership is about to expire?

The membership list shows renewal dates. The automatic renewal email goes out 14 days before a membership renews, once you switch it on in Settings.

What is on a membership card?

A link and a QR code. Scanning the QR shows whether the membership is current. You can send the link or print the card.

Is Club where dues are collected?

No. Club tracks membership and renewals; the money itself is tracked on the Dues page, which records payments manually and never collects them.
