How to follow up with people who drift away

By Daniel Jimenez, founder of Kanbei · November 3, 2026 · 3 min read

A Kanbei guide — step by step, for organizers.

Care is where follow-up lives: who is new, who has gone quiet, whose birthday is coming, and what step each person is on. The most valuable follow-up is the personal one — a short message to someone who came regularly and then stopped — and Care exists so that person is noticed instead of forgotten.

Follow-up steps

Every person sits on a follow-up step, such as New, Contacted, or Settled. Change someone’s step from the menu on their card. Rename the steps in Settings so they match the words your org actually uses.

Paths for new people

A path is a short checklist you walk each new person through — a new-member path, a new-player path, one step per line. Add someone to a path and work through it; the timeline on their record shows their notes, attendance, jobs, and certifications in one place.

Smart lists, birthdays, and certifications

Build a smart list from rules — people who have not come in a month, people with no group — and it stays up to date by itself. Above the list, “Copy emails” copies every matching address to the clipboard, ready to paste into your own email, and “CSV” downloads the list as a spreadsheet with name, email, and phone. The birthdays tab lists whose birthday is coming, and next to each one an email button opens a message to that person with the subject already filled in. The certifications tab tracks who holds what, and when it expires.

Group rules: fill a group automatically

Care’s last tab, “Group rules”, fills groups for you. For each group, pick a rule — a tag, a minimum or maximum age from birthdays, or a follow-up step — and Kanbei shows how many people match and how many are not in the group yet. Press “Apply rule” and the matching people are added. Apply it any time, for example at the start of a season. Nobody is ever removed by a rule.

Merge duplicates

When the same person ends up on the list twice, merge them from the duplicates tab instead of deleting one by hand — their history comes together instead of being lost.

Doing this in Kanbei

Open Care from the sidebar (turn it on in Settings → Tools if it is not there). Work the follow-up list once a week: move people along their steps, check the birthdays, and email anyone who has gone quiet (Care copies their addresses for you). It costs $20 a month, plus applicable taxes, for the whole organization, with unlimited members.
