Download the CSV template

Your people list is the one list everything else hangs off: events, attendance, jobs, dues, and messages all point at it. Keep one record per person, with a name and one way to reach them, and stop keeping copies anywhere else.

Add and edit people

Open People from the sidebar and add a person by hand, or import a whole roster from a CSV file — there is a template to download, and the import shows a preview before saving so duplicates are skipped. Each record holds email, phone, tags, a household, and custom fields for anything else, such as a shirt size or an emergency contact.

Households, tags, and custom fields

Put people who belong together in a household, so a family shares one entry instead of three copies. Use tags — “volunteer”, “junior”, “new” — instead of a yes/no column for every team or role. Add a custom field only for information you will actually use.

Timezones and presence

Each person’s record can also carry a timezone, shown on their entry in the list, so a list spread across time zones still reads sensibly at a glance. Members who have a Kanbei account also show a small green dot on their photo when they were active in the last five minutes, or a grey dot with when they were last online — people without an account show no dot at all.

Who sees what

Only owners, admins, and people with the right custom role can open the full list. A plain member sees Dashboard, Calendar, Announcements, and their own page — but not the full people list. The member directory is on by default and shows only people who chose to be listed — each person can change that choice from their own page.

Doing this in Kanbei

Open People, add people or import the CSV template, and tidy with households and tags. Importing from phone contacts, Google Contacts, Outlook, Mailchimp, Brevo, and MailerLite is in Connectors. It costs $20 a month, plus applicable taxes, for the whole organization, with unlimited members.

Common questions

How do I add someone to the list?

Open People and add them by hand, or import a CSV. One record per person, with a name and one way to reach them.

What is a household for?

Grouping people who belong together, such as a family, so they share one entry instead of several copies.

What does the green dot on a photo mean?

That member has a Kanbei account and was active in the last five minutes. A grey dot shows when they were last online; people without an account show no dot.

Can members see the whole people list?

No — a plain member cannot open the full People list. They see only their own page, plus the names and contact details of people who chose to appear in the member directory, when you turn it on.
